The Records Bureau is responsible for maintaining and updating all department records and files, such as incident and accident reports and parking citations. The Records Bureau is also responsible for collecting fees for copies of these reports as well as for permits and citations. In addition, clerical staff members greet citizens arriving in the building and direct them to the proper person to handle their concern. Citations can be paid online at Paymentus, by phone to Paymentus at (855) 288-5238, in person at the Police Department during the normal business hours of the Records Bureau (Monday - Friday, 7:00 am to 6:00 pm, closed weekends and holidays), or put in the drop box available in the lobby during non-business hours to drop off payments. You may speak to an officer or pay warrants at any time. Online payments are made using your credit or debit card: Credit/debit card payments are processed by an outside agency, Paymentus. You do not need to create an online account to make a credit/debit card payment. These payments will include a convenience fee, paid to Paymentus, not the City of West Allis. Reports and Records RequestsAccident reports are available online for viewing or printing. You may also stop in at the Police Department during normal business hours to request a copy of the full accident report. The online report is free and contains basic accident information. The report available at the Police Department may include a narrative, and a fee is charged. The usual cost is $1.00 - $2.00 each. Accident reports may take up to 5 days after the accident for the full report to be completed. Requests for Incident records or other reports start with the Request for Records form, which is available online, or at the Police Department. You may bring the completed form to the Police Department, send it in by mail or fax it to the number on the form. The cost of a request for incident records or other reports is $0.25 per page; most requests are less than $5.00, payable at the time of pickup. All records are reviewed by the Records Bureau Supervisor or designee prior to release. If the request is not permissible under the Open Records law, it will be denied. Under most circumstances, the request you are making will be completed and ready for pick up within 2-3 business days. Please call the Records Bureau at (414) 302-8080 during normal business hours to verify the report is completed before returning to pick up your records; the Records Bureau will not notify you when the records are ready for pickup. You must come in person to the Police Station to pick up records. The request will be kept at the Police Station for ten (10) days; after ten days have passed, if you have not picked up the request, the report will be destroyed and you must request it again by completing a new Request for Records form.
